Report Configuration

District Administrators can customize the appearance and content of archived evaluation reports. Each report type can have a custom title, additional text, an evidence policy, and specific sections enabled or disabled.

Where: Evaluation Setup > Report Settings

:::tip Configure Early Set up report configuration at the beginning of the school year, before any reports are generated. This ensures all archived reports have a consistent format throughout the year. :::


Report Types

Each evidence collection type generates its own report when archived. The report types available depend on the evaluation program. The most common (TPEP teacher/principal) types are:

:::note Self-Assessment Reports Self-Assessments are not archived like other report types. Evaluatees can use the Create PDF option to generate a personal copy, but Self-Assessments don't produce archived reports visible to administrators. :::

:::note Mid-Year Reports Mid-Year reports are created as snapshots of the Summative report. See Report Snapshots below. :::


What You Can Configure

For each report type, you can set:

Report Sections

Each report type has its own set of sections. Sections fall into three states:

Sections are also grouped into Main (primary report content) and Appendix (supplementary details that print after the main report).

:::note Framework Scores visibility The Framework Scores section only appears in a report when that evidence type is scored and scores have been entered. Whether an evidence type can be scored is controlled by an Allow Scoring setting for its module (Observations, Self-Assessments, and so on). For Summative reports, focused evaluations are not scored unless your district enables summative focused scoring. See Scoring and Focused Evaluations. :::

Self-Assessment Report (PDF Only)

Self-Assessments are not archived. Evaluatees can generate a PDF copy for their own records, but these reports are not stored in the system.

Evidence Policy

Reports include a single Evidence section that presents both packaged evidence and unpackaged collected items together. How much of that evidence reaches the report is controlled by the report's evidence policy, which you set per report type:

:::note A single Evidence section Earlier versions had separate "Collected Evidence" and "Packaged Evidence" sections, each with its own display mode. These are now combined into one Evidence section governed by the evidence policy above. :::

How the policy affects evaluators

The evidence policy you set on a report determines what evaluators can do in the Evidence View:

  • Include All — Everything collected is in the report automatically. There is nothing for the evaluator to curate.
  • Curate — The evaluator chooses which evidence items and packages are included. (An evaluator may also opt to include all of the evidence for their own evidence collection.)
  • None — No evidence section is produced, regardless of what was collected.

  • Include All — Use when you want a complete record of all evidence collected.
  • Curate — Use when evaluators should select the most relevant evidence for the final report.
  • None — Use when the report should not contain an evidence section at all. :::

School Override

If a report type allows school override, School Administrators can adjust the evidence policy (and enabled sections) for evaluations at their school, within what the district permits.


Report Snapshots

Report snapshots allow evaluators to capture a point-in-time copy of the Summative report before the evaluation is complete. This is useful for:

  • Mid-year check-ins — Capture progress at the midpoint of the evaluation cycle
  • Quarterly reviews — Document status at regular intervals
  • Progress documentation — Save the report state before making significant updates

Creating a Snapshot

From the Summative Final Report tab, click Create Snapshot to capture the current report state. Enter a descriptive title (e.g., "Mid-Year Review", "Q1 Progress Report") and click Create Snapshot.

Viewing and Downloading Snapshots

Toggle Show Snapshots to see all saved snapshots. Each snapshot can be downloaded as a PDF.

:::tip Mid-Year Reviews For districts that conduct formal mid-year reviews, create a snapshot titled "Mid-Year Review" to document the evaluation status at that point. The snapshot preserves all scores, evidence, and notes as they existed when captured. :::


Default Report Titles

When a framework is set up, reports are initialized with default titles:

School Override

When "Allow School Override" is enabled for a report type, School Administrators can:

  • Change the report title for their school
  • Add or modify additional text
  • Enable or disable optional sections
  • Adjust the evidence policy (within district limits)

School settings override district settings for evaluations at that school.


Tips

  • Keep titles concise — They appear at the top of printed/PDF reports
  • Use additional text sparingly — It adds to every report of that type
  • Consider what's useful — More sections means longer reports; include what evaluators and evaluatees actually need
  • Summative reports are the legal record — Consider which sections provide necessary documentation
